     INSTALLATION
     
  
 
 
          Welcome to the GRAPHICOP Employee Scheduling Program. 
     Hardware Requirements are a 5 1/4" or 3 1/2" floppy disk 
     drive and DOS version 3.3 or higher. GRAPHICOP will operate 
     on any 80X86 IBM or compatible computer. A hard disk is also
     highly recomended for faster file access, but it is not necessary. 
     146K of DOS memory will be needed to run this program. An IBM 
     or EPSON compatible printer is also recommended. 
 
 
 
          The following are instructions for installing the program 
     on a hard disk: 
 
          Go to the DOS "C:>" prompt on your computer and type "md GC" 
     (don't type the quotes), which will create a directory for the 
     GRAPHICOP program files. 
          Insert the GRAPHICOP program disk into the appropriate floppy 
     drive and type "copy A:*.* C:\GC" (type "copy B:*.* C:\GC" if the
     disk is in the B drive). This will transfer all files to the GC 
     directory on your hard disk. 
          The program is now ready for use. Change to the GC directory 
     on the hard disk by typing "cd\GC", and then type "GC" to start the
     program. Read the "Getting Started" section of this manual in order

     GETTING STARTED 
      
 
          If you have just barely installed the GRAPHICOP program on 
     your hard disk, or if you are planning on using it directly from 
     the floppy disk, type "GC" at the "C:\GC>" DOS prompt. This will 
     bring up the introduction screen, which will indicate the number 
     of employees that the program is set up for. Pressing the F10 key
     on your keyboard will allow you to add or delete employee's names
     from the database.
 
          If this program has just been installed there will be 0 employees
     in the database. Hit the F10 key and answer the question of how many
     employees you want in the database. After this, you will be asked to
     type in their names. If you make a mistake typing in a name, hit the
     backspace key to erase the incorrect character. After you press ENTER
     the name cannot be changed. Should you need to change the name, simply
     press ENTER until the program enters the schedule screen, press ESC,
     and start over from the beginning of this section.
 
          MAKE A BACKUP of the two files SHIFT.CFL and INFO.CFL (found in
     the "GC" directory on the hard disk) before you add or delete employees
     in the future! Changing the number of employees clears the database,
     and having a backup will allow you to check old schedules that were
     created before the employee change took place.
 
       After you have entered all names, press ENTER. This will bring
     up the schedule screen and a list of command keys in the lower right
     corner. The section "Using the Schedule Editor" will explain what each

     USING THE SCHEDULE EDITOR
 
 
       When the schedule screen is displayed, there will be four
     command functions listed in the lower right corner. The first
     is "Retrieve" which is executed by pressing the F1 key. Retrieve
     allows you to bring up the employee schedule for a given date
     to the screen. After pressing F1, you will be prompted for the
     date. If you simply hit enter, the system date will be chosen by
     default, otherwise simply type in the desired date.
 
       After typing in the desired date, press ENTER. The time
     schedule for the first employee will appear in the upper right
     corner of the screen. A graphical color-bar display that represents
     this schedule, will also appear on the schedule sheet. Pressing
     ENTER again will bring up the next employee's schedule for that day.
     Press ENTER until all employee's schedules are on the screen for that
     day. If you have employees scheduled for any other days in the week
     of the day that you have chosen, they will automatically appear
     on the schedule sheet also. This allows a quick check of employee
     duty coverage for the entire week.
 
       Retrieving a schedule is rather simple, but when you first 
     install the GRAPHICOP software, there will not be anyone scheduled. 
     Therefore, the first item of interest will be how to enter the 
     new schedule times. The F2 key will cause you to enter the "Edit" 
     mode. The editor must be used to make any schedule additions or 
     changes. After pressing F2, you will be prompted for the date. If 
     you press ENTER, the system date (hopefully today's date if your
     DOS date is set correctly) will be chosen automatically. If you 
     desire a different date, simply type it in and press ENTER. After 
     a date has been entered, the program will open up an entry in the 
     database for the date you have selected. In the upper right portion 
     of the screen, the name of the first employee will appear. Just
     below this will be the words "Reg. Start?". Under this will be 
     a place for you to type in that employee's time for regular working
     hours (remember to use 24 hour time). Press enter after you have 
     done this. Next you will enter the time for the end of the employee's
     regular working hours. Followed by these, you will also be asked 
     for Overtime and On-Call hours. After entering the last time for 
     employee #1 ("OnCall End"), press ENTER and repeat this procedure
     for employee #2 and so on. If you wish to skip over an employee
     entirely when his name appears (for example if the employee is on
     vacation), simply hit ENTER and that employee will be bypassed.
     When all employees have been entered, the schedule for that day will
     be saved on the hard disk. Try "Retrieve" to make sure that all of 
     the entries are correct.

       If an error has been made, or an employee's times for a particular
     day need to be changed, press the F2 "Edit" key and enter the 
     appropriate date. Skip through the employees names by pressing ENTER
     until the name that you wish to modify appears in the upper right 
     corner. Enter the new correct times for that employee's regular,
     overtime and on-call work hours. Note: you can skip over the overtime 
     and on-call entries simply by pressing ENTER when they appear. 
     When you have entered the corrected times for that employee, change
     the remaining employees the same way, or skip over them by pressing
     ENTER if no changes are needed. Remember not to press ESC while 
     you are in the "Edit" mode unless you want to erase the entries for

     PRINTING SCHEDULES
 
 
       The purpose of this software is to provide an efficient means 
     of tracking employee work hours over extended periods of time, as 
     well as provide a quick, visual format for supervisors to make sure 
     that at least one person is on duty at all times during a 24 day. 
     The "Print" option of this program allows one to print out detailed 
     employee schedules for a given period of time. A summary of total
     regular, overtime and on-call hours for each employee is also included.
 
       To obtain a detailed schedule printout, for example from 2/1/1992 
     until 2/29/1992, press the F3 key. Enter the starting day (2/1/92) 
     and ending day (2/29/92) as requested. You will be asked whether a
     complete schedule as well as a totals summary be printed out. Answer
     "no" (type n) if you only want the totals, otherwise both will be
     printed out. A graphical representation of the current weekly schedule
     can also be printed to any dot-matrix printer. After bringing up the
     schedule for the desired week onto the screen, press CTRL-D. This
     will dump the screen image into your printer buffer, and should
     yield a black-and-white rendering of the exact image as seen on the
     color screen. The cross hatch patterns for the bar graphs may vary
     slightly from printer to printer.
